By enrolling your child and submitting payment, you acknowledge that you have read, understood, and agree to the following Terms of Service.
1. Enrollment Agreement
Enrollment at Handled With Care Childcare (HWC) begins once the parent or guardian completes all required registration forms through Brightwheel and submits the initial payment.
Enrollment is considered ongoing until written notice of withdrawal is provided.
All families are required to maintain accurate contact, emergency, and authorized pick-up information in Brightwheel.
2. Tuition & Billing
All tuition and fees are processed through Brightwheel.
Tuition must be paid in advance according to your child’s scheduled care plan.
Payments may be made via ACH, debit, or credit card.
Late payments may result in a late fee and/or temporary suspension of services until the balance is cleared.
Families receiving childcare subsidies are responsible for any parent co-pay or charges not covered by subsidy.
HWC reserves the right to adjust tuition rates with prior notice to enrolled families.
3. Attendance & Scheduling
Parents are required to check children in and out daily using the Brightwheel app.
Consistent attendance supports your child’s development and helps our staff maintain ratios and schedules.
For absences or schedule changes, please notify the center through Brightwheel or by phone.
If your child will not attend for an extended period, please inform the office to maintain accurate records.
4. Withdrawal Policy
Families must provide a two-week written notice prior to withdrawing their child from the program.
If notice is not provided, two weeks of tuition will still be charged to the account on file.
5. Illness & Health Policy
To ensure a healthy environment for all children and staff:
Children showing signs of illness (fever, vomiting, diarrhea, contagious infection) must stay home.
If a child becomes ill while in care, parents will be contacted and must pick up their child promptly.
A child must be fever- and symptom-free for 24 hours without medication before returning.
Medication will only be administered with a signed Medication Authorization Form.
6. Meals & Nutrition
Handled With Care Childcare participates in the Child and Adult Care Food Program (CACFP) and provides nutritious meals and snacks daily.
We offer breakfast, lunch, and snacks based on your child’s attendance schedule.
Outside food is not permitted unless authorized for allergy or medical reasons.
All allergies must be documented in writing and discussed with the director.
7. Hours of Operation
Our center operates Monday through Friday with extended hours to support working families.
Specific schedules, including weekend or extended care options, are available upon request.
Please refer to your child’s enrollment agreement or our posted schedule for exact operating times.
8. Late Pick-Up Policy
Children must be picked up by their scheduled departure time.
Late pick-ups will result in a late fee added to your Brightwheel account.
Repeated late pick-ups may result in suspension of services.
9. Behavior & Discipline
Handled With Care Childcare promotes positive behavior through redirection, modeling, and encouragement.
Physical punishment or verbal humiliation is never used.
If challenging behavior arises, parents will be contacted to collaborate on a plan that supports the child’s needs.
10. Communication
Brightwheel is our primary communication platform for:
Daily reports, messages, and photos
Incident and observation notes
Billing and attendance updates
Please check Brightwheel regularly to stay informed about your child’s day and upcoming events.
11. Privacy & Confidentiality
All child and family information are treated as confidential.
Handled With Care Childcare will not release personal or financial information without written consent unless required by law.
All digital communication and records are maintained securely through Brightwheel and other approved platforms.
12. Safety & Emergency Procedures
Your child’s safety is our top priority.
We maintain locked entry doors, emergency preparedness plans, and staff trained in CPR and First Aid.
Parents will be notified promptly in the event of any emergency, closure, or safety concern.
13. Updates to This Policy
Handled With Care Childcare may update these Terms of Service as needed to reflect changes in policy, licensing, or operations.
Parents will be notified of updates through Brightwheel and/or email.
